POSITION SUMMARY

This position is responsible for managing The Republic of Tea's building activities and providing general office support for multiple managers.

ESSENTIAL FUNCTIONS

  • Perform administrative and office support activities for multiple supervisors with main support for the VP of Operations and the VP of Human Resources.
  • Handle requests for information, refers matters to appropriate staff and /or takes or recommends appropriate action.
  • File and retrieve documents to include contracts and reference materials.
  • Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging, and coordinating meeting accommodations.
  • Arrange and coordinate internal The Republic of Tea meetings and events including monthly recurring meetings.
  • Prepare tea service for vendor meetings and photocopies any necessary documents in preparation for meetings.
  • Receive telephone calls providing information and handling issues that may require sensitivity and use of sound, independent judgment.
  • Maintain the tea cabinet, kitchenette and storage areas including cleanliness and inventory.
  • Interact with external clients.
  • Ensure materials and reports for signature are accurate and complete; proofread and check typed and other materials for accuracy, completeness, and compliance with policies and procedures.
  • Compile and send out monthly calendar for designated Nashville personnel.
  • Prepares checks for payment of scholarship monies to employees as required.
  • Send birthday and anniversary cards to employees.
  • Handle office related programs such as Fun Calendar, Birthday notifications, managing the annual shoe program, and Cardinal baseball tickets.
  • Provide back-up for receptionist as needed.
  • Cover emergency needs for phone coverage in Citizen Services for lunch hours.
  • Respond to donation requests.
  • Prepare and disperse Itineraries for Nashville visitors.
  • Order Lands' End apparel for office and sales personnel, business cards, phone tree and The Republic of Tea flags as needed.
  • Order employee uniforms for Nashville and Upton.
  • Coordinate events for Nashville.

POSITION REQUIREMENTS

  • Two or more years of hands-on administrative support experience.
  • Knowledge of general office procedures and operating standard office equipment.
  • Exceptional customer service skills, over the phone and in person, with customers and internal departments; must be able to maintain professionalism and a positive service attitude at all times.
  • Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving, and the ability to work with confidential documents.
  • Must be computer savvy and proficient in Microsoft Office suite including Word, Outlook, and Excel.
  • Ability to manage multiple tasks and achieve deadlines under pressure.
